1. What we collect
Riders
- Sign-in: your email address (or your Google or Apple account email).
- Your name, as you type it in your profile (and on car rental requests, so the vendor knows who is coming).
- Location: the phone’s location is used to place the pickup pin while the app is open. We save only the pickup and drop-off points of rides you book, not your location history.
- Trips: pickup and drop-off places, times, fare, the captain, and the rating you give.
- Phone number (needed to book a ride, asked once) and address (optional), in your profile. The office can see them. The captain of your ride can see your phone number, to call you about the pickup, only from when they accept until the ride ends or is cancelled. Captains never see your address.
- Your profile photo (optional), if you add one. Your captain sees it, with your name, only while they are deciding on your ride request. The office can see it too. It is deleted with your account.
- Saved places (optional): Home and favourites. Only you can see them.
- Messages you send to your captain during a trip.
- Problem reports you send about a trip.
- Car rental requests: the car, dates, the package, your name, and a photo of your passport and of your driving licence (the vendor needs them). Only the Fiafia Ride office can see those photos; they are deleted automatically 30 days after the rental is completed or declined, or when you delete your account.
- Device: a notification token and the app language you chose.
Captains (and people applying to drive)
- Details from an application or office registration: name, phone, sign-in email, vehicle, plate, seats, and whether the agreement is signed.
- Address (optional) and phone (required for trips). Riders see the work phone during a trip; address is office-only.
- Documents (driver’s licence and a picture of your car), private to the office. Your photo: the office keeps it, and your riders see it during their trip.
- Location while online or on a trip (including when the app is in the background, with a permanent notice). It stops when you go offline with no trip.
- Account: trips, fares, Platform Fee, payments, statements, disputes.
- Device: notification token and app language.
Office staff
Name and email, and a record of actions in the office panel (for example recording a payment).
2. Why we use it
- To arrange rides: match riders with nearby captains, show the car coming, measure the trip and work out the fare.
- To run captain accounts: Platform Fee, daily statements, payments, and temporary blocks when unpaid past the deadline or over the limit.
- For safety and complaints.
- To send ride updates and account notices.
We do not sell your data, use it for advertising, or share it with advertisers.
3. Who else handles it
- Google Firebase stores data and runs our servers in Sydney, Australia. Google also delivers notifications.
- Map and place services: OpenFreeMap (map tiles), Nominatim and Photon (place names and search), openrouteservice (driving routes). They receive only a map point or the text you type, never your name or account.
- Your captain or rider: while a captain is asked to take your ride, they see your name and profile photo, and the pickup and drop-off. You see the captain’s first name, photo, car, plate, work phone and rating (the photo only during your trip). Until they pick you up, your captain can see where you are on the map, so they can find you. That stops once the trip starts.
- People you share a trip with: “Share trip” sends a link to whoever you choose. Anyone with the link can see, only while the trip is live: the trip stage, the captain’s first name, car and plate, the pickup and drop-off place names, and where the car is now on a map. Not your name or phone. When the trip ends the link stops showing anything.
- Authorities, only when the law requires it.
4. How long we keep it
- Trip routes and in-trip messages: deleted 30 days after the trip, unless a problem report is still open.
- Trip records (date, fare, captain): kept for accounting and tax, for as long as the law requires.
- Captain accounts (Platform Fee, payments): kept for accounting and tax, for as long as the law requires; never edited — mistakes are fixed with a new entry.
- Notification tokens: until you sign out on that phone or delete your account.
- Everything else: until you delete your account.
5. Your choices
- A copy of your data: ask the office; we send it to the email of your account.
- Saved places: rename or remove anytime in the app.
- Delete your account in the app (steps: Delete your account). We remove personal details; for accounting we may keep, without your name, trip date, fare and captain.
- Captains leaving: Delete account in the app, or ask the office. It is refused while a Platform Fee is owed or you are on a trip. Your sign-in is switched off and the account is hidden; your details, documents, trips and account are kept so it can be restored if you come back.
- Location and notifications can be turned off in phone settings.
6. Security
Data is sent encrypted. Access is limited by role. We keep no customer data in our system logs.
7. Children
You must be 18 or older to use Fiafia Ride. The app is not made for children.
8. Changes and contact
We will show a notice in the app if this policy changes in an important way. Questions: fiafiaride@gmail.com, +685 XXXXXXX, Apia, Samoa.
